With the many KPI soft vendors around, any manager or management team is almost sure to find the right key performance indicator software for their organization. The use of KPIs or key performance indicators refers to the use of relevant measurable quantities called metrics in the pursuit of goals. That is, to be precise, the term KPI actually refers to a metric that is used as part of a measurable objective. For instance, such an objective could be "Increase Overall Revenue by 10% by EOY 2010", and "Overall Revenue" would be the metric used or the key performance indicator.

Clearly, with the proper selection of indicators and formulation of goals, this approach to management can deliver significant results. Stating organizational goals clearly and in a measurable manner makes it possible to measure progress towards these goals objectively. This makes it possible to determine whether resources need to be reallocated or strategies need to be realigned in order to actually achieve these objectives.

But how are these KPIs in fact chosen? In all cases, they depend heavily on what it is that drives the business or organization. And in most cases, there are some prerequisites that can make it much easier to be able to find out which indicators are the key and most important ones. These include having a well-defined business process, formulated performance requirements and goals, and ways to measure results.

Once planning and the selection of these indicators are finished, it then becomes possible and necessary to implement them in the form of measurable objectives. This is where the various software tools come in. They allow not only the gathering of large amounts of data and measurements, but also in many cases, the comparison of the data gathered with ideal or expected outcomes. This is exactly what you would need to ensure that these key performance indicators are put to good use and actually drive results and forward progress.

So, the most basic incarnation of a tool for this purpose would be a database for holding KPIs, a system to collect relevant data, and a system to compare the two and display the results. This may sound simple enough on paper, but the details of the implementation and how everything should meld together can often be overwhelming. This is why the use of computers is practically a must in business intelligence nowadays.

The best way to choose which tool to use would be, of course, to try each option out and see how they compare in practice. But the pool of candidates can be narrowed by considering what your organization really needs. What kinds of KPIs do you use most often or are most important? How much are you willing to spend on these KPI soft vendors and their various programs and suites of utilities? With these considerations in mind, managers will be able to narrow down the search to a couple of promising ones that are in the right price range and packing the right set of features.
