Metrics soft evaluation, or the use of software as tools to implement a system based on evaluating measurable parameters, is becoming increasingly common as a management approach. In recent decades, there has arisen an increasing trend towards what might be termed as objective management. In this style of management, the use of objective measures, usually quantifiable ones, is held to be very important to be able to get an accurate, up to date picture of the organization. In particular, the use of metrics has been a breakthrough in making performance management more systematic and consistent. So, what is the logic behind the use of metrics, and what are they exactly, anyway? A metric is simply any measurable quantity that can be used to indicate some aspect of organizational performance. For example, in a call center, one of the more important metrics is called the average handling time or AHT. The AHT represents the average time it takes for an agent to finish a transaction, from beginning to the end of the call. This is just one example, and for different types of organizations, different metrics might be relevant. Once you have determined which metrics are most relevant, you would then be able to determine what range of values these metrics are supposed to take. That is, AHT should be minimized as much as possible, while other metrics such as sales related ones should be maximized instead, and so on. The utility of a metric lies in the fact that it is a concrete, objective representation of an organizational goal that may have been vague or ambiguous before. By monitoring the development of the set of metrics, managers are able to monitor performance fairly accurately. When sudden drops occur, then corrective action can be taken. Hence, metrics act to enable a feedback cycle, which ideally would result in continually increasing performance. Now, the use of computers and special data handling software is not theoretically necessary, but in practice, it virtually is. Especially for larger organizations with many members and many metrics to keep track of, the amount of data involved can grow to immense proportions. No accountant with a pen and a notebook would be able to keep up! Thankfully, both hardware and software components of computers have been developing at a rapid pace in recent years. This enables powerful systems to be put in place to gather, process, and display data and results. This surge in interest means that there is a plethora of options when it comes to metrics soft evaluation. There are many different programs and utilities varying in cost and sophistication. Depending on the size and complexity of your organization, you could get by with smaller, simpler software, or you may require industrial strength, fully robust systems. In any case, although a good tool is undeniably useful, it still is just a tool, in the final analysis. A good management plan and a genuine desire to implement a good, efficient metric measurement and analysis system will be, of course, the prerequisite.
